Volunteering 

Because we are a volunteer-run program, SWRT needs the help of all families in order to run a smooth, safe and successful season. Each family is asked to volunteer a minimum of two times per season. There are a variety of volunteer roles from which to choose, including assistance with special events, fundraising, administration, or race day tasks.


Volunteer Job Descriptions

PARENT GREETERS - THIS IS NOT AN ASSIGNMENT FOR FIRST YEAR FAMILIES.  Welcome parents, old and new, to the team/season inside the lodge on the first night of practice.  Hand out name tags and make new friends!  If you have SWRT gear, please wear it! Please check in with Paula Rubley in the lodge for further instruction.

U8 DUCT TAPER - THIS IS NOT AN ASSIGNMENT FOR FIRST YEAR FAMILIES.  Assist on the first night of practice with distribution of name tags for the racers.  Check in with Paula Rubley in the lodge and then report to the bottom of the U8 hill 15 mins BEFORE practice begins.  Please DO NOT be late for this event.

U10, U 12, U14+ DUCT TAPERS - THIS IS NOT AN ASSIGNMENT FOR FIRST YEAR FAMILIES. Assist on the first night of practice with distribution of name tags for the racers. Please check in with Paula Rubley in the lodge and then report to the bottom of the main hill 15 mins BEFORE practice begins. Please DO NOT be late for this event.

REGISTRATION ASSISTANCE PAT’S PEAK - If you will be making the trip to Pat's Peak (12/14) and you can share a bit of your time with us, we will need help passing out lift tickets.  Details TBD.

FORERUNNER REGISTRATION - Assist with check-in at Forerunner Party.

50/50 RAFFLE TEAM 1 - Report to Paula Rubley by 7:30am on race day to collect raffle bucket and tickets.  Begin selling tickets during registration and during 1st run.  Return $$ and bucket to Paula at the end of the 1st run.  Sign up with a friend and have some fun.  Seasonal prize to be awarded to the team that raises the most money.

BIB ORGANIZER - Take the bibs home after the race and sort them by number. Return to race trailer PRIOR to the next home race (by Friday night). See Paula Rubley for further instruction on the day of the race you have signed up for.

BIG HILL BIB COLLECTOR - Check in with Paula Rubley by 8:30am.  Pick up empty bib bins and bring them to the bottom of the racecourse BEFORE the start of the 2nd run.  Collect bibs from each racer and put them in the bins.  Return bins to the racer trailer at the end of the race.

BIG HILL FINISH LINE JUDGE - Check in with Paula Rubley by 7:45am. Report to the gatekeeper's meeting at the bottom of the racecourse by 8:30am.  You will be stationed at the finish line to observe racers through the two final gates and over the finish line. Record bib numbers for missed gates.

BIG HILL GATEKEEPER - Check in with Paula Rubley by 7:45am.  Report to the gatekeeper's meeting at the bottom of the racecourse by 8:30am.  You will be stationed on the side of the course to observe racers through proper gates.  Record gates that are missed on gate judge card.  Help with course maintenance if needed.

BIG HILL RACE QUEUE - Check in with Paula Rubley by 7:45am.  Report to the gatekeeper's meeting at the bottom of the race course by 8:30am.  You will be posted at the top of the race course near the start house.  You will be responsible for getting the racers in line by number order for both runs.  You do not need a lift ticket, but you will need to hike to the top of the hill.

BIG HILL RECORDER - Check in with Paula Rubley by 7:45am. Report to the gatekeeper's meeting at the bottom of the racecourse by 8:30am.  Record the time for each racer on the official seed list.

BIG HILL RIBBON PREPARER - Check in with Paula Rubley by 8:30am.  Report to the race trailer at the end of the 2nd run.  Print and tag ribbons for top ten racers in each age group.  Assist at ribbon ceremony.

CHIEF OF COURSE - Check in with Paula Rubley by 8:00am.  Must attend the gatekeeper's meeting at 8:30am.  Oversees safety and maintenance of the course.  Must be on skis.  Must be experienced as Chief of Course.

PARKING ASSISTANT - Must check in with Paula Rubley by 6:45am on race day.  Duties will include assisting Ski Ward staff with parking cars and flow in front of the lodge.  Further instruction will be provided on race day.  Dress for parking lot conditions.

REGISTRATION - Report to Paula Rubley by 7:15am.  Meet at the race trailer to gather bibs and registration materials to set up on the back deck of the main lodge.  Check in racers and hand out bibs.  YOU MAY ONLY SIGN UP FOR THIS POSITION 1 TIME PER SEASON.

RESULTS COORDINATOR - Check in with Paula Rubley by 8:00am.  Report to the gatekeeper's meeting at the bottom of the racecourse by 8:30am.  Assist in reviewing gatekeeper findings so that results can be compiled and ribbons prepared.

SHERPA - Assist Paula Rubley with various tasks of the day.  Dress for the weather and be ready to go by 7:00am.

U8 ANNOUNCER - Announce racers names using the SWRT bull horn.  Please check in with Paula Rubley by 7:45am and report to the base of the U8 hill by 8:30am.

U8 BIB COLLECTOR - Report to Paula Rubley to get the bib bins before the 2nd U8 run begins.  Collect the bibs from each racer as they complete their 2nd run.  Place the bibs in the bib and return to the race trailer.  Check in with Paula Rubley by 8:00am.

U8 BREAKDOWN ASSISTANT - You will help take down the U8 course after the race has been completed.  Check in with Paula Rubley by 7:45am.  Arrive at the base of the U8 hill before the end of the second run.

U8 COAT SHUTTLE - Assist on the U8 hill to bring coats and pants down to the finish for racers who are wearing race suits.  This is best achieved on skis, you would need to purchase a lift ticket for the day.  Check in with Paula Rubley by 8:00am.

U8 GATEKEEPER - You will be on the course to assist those racers who may need help during the race.  You do not need a lift ticket, but you will need to hike up to your position on the hill.  Check in with Paula Rubley by 7:45am.

U8 RECORDER - Record the times of each racer on the Official Seed List.  Deliver results to Paula Rubley asap at the end of the race.  Check in with Paula Rubley by 7:45am and report to the base of the U8 hill by 8:30am.

U8 RIBBON PREPARER - Check in with Paula Rubley by 8:30am.  Meet the ribbon team at the race trailer at the conclusion of the 2nd run on the U8 hill.

U8 SET UP ASSISTANT - Assist with setting up the U8 course before the race.  Check in with Paula Rubley by 7am to pick up timer and other equipment that will need to be taken over to the U8 hill.  You will need to arrive at the U8 hill by 7:10am.

U8 STARTER - Report to the U8 start line to help start each racer when the course is clear.  You do not need a lift ticket, but you will need to hike up the short distance to the start.  Please check in with Paula Rubley by 7:45am.

U8 TIMER - Read the times out loud for the recorder and ensure that the timing device is functioning properly.  Check in with Paula Rubley and arrive at the base o the U8 hill by 8:30am for further instruction.

BANQUET BREAKDOWN - Assist with returning the banquet facility to normal after the event.  Banquet coordinator will confirm tasks and timing as event date approaches.

BANQUET DOOR MONITOR - Monitor the ballroom doors to encourage racers to remain inside the ballroom during the event.  Running in and out of the ballroom and in the halls during the event is not allowed.

BANQUET REGISTRATION - Assist with signing guests in and welcoming families to the end of season banquet. Banquet coordinator will confirm tasks and timing as event date approaches.

BANQUET SET UP - Assist with preparing the banquet space on the day of the event.  Banquet coordinator will confirm tasks and timing as event date approaches.

HISTORIAN - This is an extremely important position.  We are looking for a person/family to help document the season through pictures.  The following items will be necessary to complete the task:

1. Create a space where photos can be received from the team.

2.  Communicate instructions (via Communications Chair) with the team on how to submit pictures.

3.  Edit pictures as needed.

4.  Create a slide show to present at the end of season banquet.
